Name-Based Case Searches
Wisconsin Circuit Court Access, or WCCA, is the public search layer for Columbia County Circuit Court cases. A name query can use a person's last, first, and middle names or a business name. Select Columbia County when the filing county is known. That filter helps separate similar names found elsewhere in Wisconsin. Birth date or birth year may also be offered, but public display can limit that detail.
- Open WCCA and accept its public-access notice if it appears.
- Enter the last name, then add a first or middle name only as needed.
- Choose Columbia County instead of Statewide when the venue is known.
- Compare the filing date, caption, and case type before opening a result.
- Open the case number and read the most recent court record events.
| Field Label | Type | Required | Notes |
|---|---|---|---|
| Party Last, First, Middle | Text | No | Add fields to narrow a common name. |
| Business Name | Text | No | Searches a business party or caption. |
| County | Dropdown | No | Choose Columbia or search statewide. |
| Case Number | Text | No | A complete number is the strongest key. |
WCCA Search Limits in Columbia County
WCCA is a public copy of information entered in CCAP, Wisconsin's court case-management system. The access notice says updates are generally uploaded hourly, with possible overnight maintenance. A new filing or changed setting may therefore take time to appear. Older converted cases can also contain less detail because counties did not all backload records on the same schedule.
The official WCCA entry screen shows the public-access point used for a Columbia County search.

The access screen reinforces that WCCA is a search layer, while the Columbia County Clerk maintains the underlying court file.
The portal gives summaries, not public document images. If a Columbia County result lists a motion, order, or judgment, the event confirms that an entry exists. It does not supply the filed page. Ask the Clerk of Circuit Court for the paper or electronic file. Registered parties and attorneys may see authorized documents through Wisconsin circuit court eFiling, but eFiling is not a second open public docket.
Case Number Searches
A complete Wisconsin case number combines the filing year, a two-letter case-type code, and a sequence. A format example is 2024CV000123. Here, 2024 is the year, CV identifies a civil case, and the last digits are the assigned sequence. Other useful codes include CF for felony, CM for misdemeanor, CT for criminal traffic, SC for small claims, and FA for family.
Copy the number from the notice or clerk record. Do not infer missing digits. On WCCA, pair it with Columbia County when the search screen permits. An exact number avoids the ambiguity of a common name and leads straight to the matching summary when the case is public. Probate may use PR, guardianship GN, and juvenile JV, though access rules can prevent a result from appearing.
Columbia County Case Codes
Case codes tell a searcher which path produced the record. CF and CM belong to criminal cases, while CT denotes criminal traffic. CV, SC, and FA separate general civil, small-claims, and family work. PR, GN, ME, and JV point toward probate, guardianship, commitment, and juvenile areas, where public access is more limited.
- Case summary
- The public WCCA overview of parties, classification, events, dates, and outcome.
- Court record event
- A dated entry for a filing, hearing, order, or procedural act.
- Disposition
- The recorded result of a case or charge.
- Continuance
- A setting moved to a later date; the newest entry should be checked.
Columbia County Common-Name Results
A common name may return several cases. Use the Columbia County filter, compare the case code and filing date, and add a first name or middle initial only when it improves the match. Never assume the first result belongs to the case being sought.
Business parties belong in the Business Name field. If the county is uncertain, run the broader Statewide search and compare venue before opening a case summary.
Case Search Results Explained
A public summary can identify the filing county, branch, responsible judge, case type, filing date, caption, parties, attorneys, status, and later court record events. Criminal summaries may show charges and a separate disposition for each count. Civil summaries can show claim types, service, motions, conferences, judgments, and satisfaction events. Read each entry as a procedural fact, not as proof that an allegation is true.
| Case Number | Year, case code, and sequence, such as 2024CF000123. |
|---|---|
| Caption and Parties | Case style, party roles, and names subject to redaction. |
| Case Type | Criminal, civil, family, small claims, probate, or another class. |
| Court Events | Dated filings, settings, orders, and disposition entries. |
| Status | Pending, open, disposed, dismissed, judgment, or another case-specific result. |
When Columbia County Documents Are Missing
A visible Columbia County case with no downloadable pleading is working as designed. WCCA does not display or sell public case documents. Identify the case number, caption, document name, and event date, then contact the Clerk at 400 DeWitt Street in Portage or mail a request to P.O. Box 587, Portage, WI 53901. The main court number is 608-742-2191 and the Clerk's office line is 608-742-9625.
People without internet access can use a courthouse public-access terminal or ask at the counter. A mailed request should state whether a plain or certified copy is needed and ask for payment instructions. Probate and related restricted files go through the Register in Probate. Transcripts come from the court reporter rather than from a WCCA event link.
Columbia County eFiling Is Different
The eFiling system lets registered parties and attorneys filter their own cases by county, number, caption, status, or attorney. Its View Documents control is based on authorization. A black document name is restricted, and Submitted means the filing still awaits court processing.
A case-number link can lead to the public WCCA view. That link does not make the private document workspace a public records portal.
Two Ways to Search: County and State
Columbia County does not operate a separate online circuit-court database. WCCA is both the statewide search and the public online route for its circuit cases. Selecting Columbia County narrows the same system. The county Clerk is the second layer, supplying the official file, copies, and clarification when an event or date is unclear.
| Statewide Portal | Columbia County Portal |
|---|---|
| Public circuit summaries across Wisconsin | Columbia County's filed court record and copies |
| Names, case numbers, events, dates, and outcomes | Pleadings, orders, judgments, exhibits, and certification |
| Best for finding a case or checking its event history | Best when the document itself or clerk confirmation is needed |
Municipal Cases Outside Columbia WCCA
A municipal citation may produce no WCCA result because it belongs to a separate local docket. Portage/Endeavor Joint Municipal Court, Eastern Columbia County Joint Municipal Court, and Wisconsin Dells Municipal Court keep their own traffic and ordinance records. Use the court printed on the citation, then contact that municipal clerk or use its official payment and plea channel.
Appeals use Wisconsin Supreme Court and Court of Appeals Access. Federal matters use PACER and the Western District of Wisconsin. Choosing the correct court system matters more than adding extra name fields to the wrong portal. A no-result search is often a routing problem, not proof that no case exists.
Columbia County Search Update Timing
WCCA says case information is uploaded hourly, subject to maintenance that may occur overnight. A filing handed to the clerk may therefore precede its public entry. Check again later or call the Columbia County Clerk when a deadline or hearing is near.
The timing note also matters after a reset. An old event can remain in history while a new date is added, so read through the latest entries.
Which Cases Stay Restricted
Wisconsin law and court orders limit access to juvenile, child-protection, adoption, guardianship, protective-placement, commitment, and some sensitive family or medical records. Sealed matters may show only a case number or limited notation, or may not appear in a public query. Particular documents can also remain confidential even when the case summary is public.
Protected identifiers are omitted or handled separately under Wis. Stat. § 801.19. Other confidential filings are addressed by § 801.20, and § 801.21 governs motions to seal information not confidential by default. Ask the proper custodian whether a public redacted copy exists. Do not attempt to work around an access order.
Fixing a Failed Columbia County Search
Start again with the exact case number. If only a name is known, remove the middle name, test the business-name field when relevant, and switch from Columbia County to Statewide. Compare each result's county, filing date, and case code. For a municipal ticket, leave WCCA and call the issuing court. For an older probate file, contact the Register in Probate because online history may be incomplete.
If a setting conflicts with a written notice, call the Clerk or the assigned branch. Columbia County has no single public daily circuit calendar identified in the research. The event list can preserve both an old and a reset date, so the latest event deserves close review. The written notice and direct court confirmation are the sound sources for an imminent appearance.
Note: WCCA is updated often, but a recent filing or change may not appear at once.
